Privacy Policy

Wovi helps families handle the administrative side of caring for an aging adult. That work involves sensitive information, and we treat it that way. This policy explains what we collect, why, who sees it, and the choices you have. The short version: we collect only what we need to do the tasks you ask us to do, we never sell your information, and you can delete your data at any time.
1. Information we collect
- Account information — your name, email, password (stored as a hash), and phone number if you add one.
- Family member information you provide — the name, date of birth, providers, insurance details, and contact information of the adults you care for, plus the documents you upload (medical bills, explanations of benefits, insurance notices).
- Requests and communications — what you ask our concierge to do, chat messages with our assistant, notes and outcomes from calls our voice agent places, and text messages we exchange with you. Calls placed by our voice agent may be recorded and transcribed where permitted by law.
- Financial monitoring data — if you choose to link a family member's financial account, we receive read-only transaction information through a secure aggregation provider in order to flag unusual activity. We never receive online banking credentials, and we cannot move money.
- Payment information — handled by Stripe, our payment processor. Card numbers go directly to Stripe; we see only the card brand, last four digits, and billing status.
- Usage and device information — standard logs (IP address, browser type, pages viewed) used for security and to keep the Service working.
2. How we use it
- To do what you ask: book appointments, check refills, decode bills, draft appeals, watch for suspicious account activity, and keep your family calendar current.
- To contact providers, pharmacies, and insurers on your behalf — sharing only the minimum needed for the task (for example, a date of birth when an office requires it to verify identity).
- To send service messages: confirmations, alerts, verification codes, and billing notices, by email or text based on your settings.
- To operate, secure, and improve the Service, including preventing fraud and abuse.
- To meet legal obligations.
We do not sell your personal information, and we do not use your family's health or financial information for advertising.
3. AI processing
Wovi uses artificial intelligence to read documents and photos, run our chat assistant, and conduct phone calls. To do this, we share the content needed for each task (messages, photos of bills, insurance cards, and medication labels, and call details) with third-party AI providers: Google (Gemini models, through our hosting provider Lovable) for reading and chat, and ElevenLabs for phone calls. They process it only to provide the service to us and may not use it to train their models or for any other purpose. We ask for your permission during setup before any of this happens. Our voice agent always discloses that it is an AI assistant calling on your family's behalf.
4. Who we share information with
- The people and businesses you direct us to contact — providers' offices, pharmacies, insurers — only as needed for your request.
- Family members you invite to share access to a parent's calendar, bills, and requests, according to the access you grant them.
- Service providers that run parts of Wovi under confidentiality obligations: cloud hosting and database, payment processing (Stripe), telephony and text messaging (Twilio), voice AI (ElevenLabs), email delivery, secure financial account aggregation, and error monitoring.
- Legal and safety — if required by law, or to protect the rights, property, or safety of Wovi, our users, or others.
- Business transfers — if Wovi is involved in a merger, acquisition, or sale of assets, your information may transfer with the business; this policy would continue to apply until changed with notice.
5. Text messaging
We send service texts (verification codes, appointment updates, alerts) only to numbers provided to us, with consent. Message and data rates may apply, message frequency varies with your family's activity, and you can reply STOP at any time to opt out or HELP for help. Phone numbers and opt-in consent are not shared with third parties for their own marketing.
6. Security
Data is encrypted in transit and at rest. Access is restricted by row-level security so each family can only see its own information, uploaded documents live in private storage, and sensitive operations run on secured servers. No system is perfectly secure, but we design so that a mistake exposes as little as possible, and we will notify you of a breach affecting your information as required by law.
7. Retention and deletion
We keep your information while your account is active. You can delete individual items (like an uploaded bill) any time, and you can delete your entire account from your Account page — this permanently removes your family's data from our systems, except for records we're legally required to keep (like billing history) and routine encrypted backups that expire on schedule.
8. Your choices and rights
- Access, correct, or export your information from your account, or by asking us.
- Delete your data (see above).
- Opt out of texts (reply STOP) and unsubscribe from non-essential emails.
- Depending on where you live, you may have additional rights (such as those under California's CCPA/CPRA), including the right to know, delete, and correct. We honor these requests regardless of state. We do not sell or "share" personal information as those terms are defined in California law.
9. Children
Wovi is for adults. We don't knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we'll delete it.
10. Changes to this policy
If we make material changes, we'll notify you by email or in-app notice before they take effect. The "Last updated" date above always reflects the current version.
